BOOKKEEPER

Position Description

This position is a part-time accounting position requiring approximately 25 hours per week; during the busiest times of the year, such as year-end and audit periods, the number of hours required may reach 40 hours per week. The candidate will be expected to work those additional hours and will be compensated accordingly. 

The individual in this role supports the Finance team, working closely with the Director of Finance and the Controller and reporting to the Director of Finance. S/he will be responsible for many of the daily accounting and bookkeeping tasks of Acumen Fund’s headquarter office.  Listed below are the primary responsibilities associated with this position: 

Accounts Payable:

Overall responsibility for maintaining accounts payable and acting as contact person for all accounts payable queries.  Specific responsibilities include the following:

  • Creating and maintaining vendors in accounts payable system including 1099 independent contractor status vendors
  • Checking incoming vendor invoices for correctness such as coding, approval, accuracy, etc.
  • Checking employee expense reports and downloading them into our accounts payable system
  • Processing wire transfers in our accounts payable system as draft payments
  • Processing payments of invoices and employee expense reports by checks, wire transfers and EFT payments
  • Processing credit memos, invoice reversals, etc.
  • Processing void checks and reopening the invoices
  • Reconciling accounts payable to general ledger monthly
  • Processing Forms 1099 at year-end

Payroll:

The bookkeeper is responsible for maintaining and working with HR on all payroll issues, in addition to the following responsibilities:

  • Maintaining all Acumen Fund employees in the ADP payroll system, adding and removing employees as needed
  • Processing semi-monthly payroll for approximately 40 US employees

Bank Reconciliations:

The bookkeeper is responsible for managing and performing monthly bank reconciliations including:

  • Working with Global Accountant in India on the operating bank reconciliation and resolving open items in the bank reconciliation before end of the following month
  • Performing monthly bank reconciliation for restricted and portfolio reserve bank accounts

Other:

  • Maintaining petty cash and reconciling all cash accounts held in the NY office each month
  • Distributing transit cards and reconciling the inventory every month
  • Maintaining vendor filing system
  • Filling deposit slips for checks received from Business Development and other sources
  • Depositing checks in appropriate bank accounts
  • Other duties as may be needed or assigned by the Director of Finance

Qualifications

Ideal candidate will possess excellent communication and organization skills with a minimum of one year experience in accounts payable and payroll in a small or medium sized organization.  S/he should be computer literate with a working knowledge of Excel 2007. Non-profit experience is preferred.
