Position Title:   Executive Assistant

Reports to:  Ashoka Regional Director

Employment: Full time 

 

The Executive Assistant is involved in nearly every aspect of Ashoka's work, in his or her capacity assisting the Regional Director, from drafting proposals for potential donors and partners to our search and selection process whereby we determine who will become Ashoka Fellows. 

 

This position is perfect for anyone who has interests in any type non-profit work because you are intimately involved with all the details of non-profit management, and because the work that Ashoka does is so valuable in a wide variety of fields. The Executive Assistant works with the Regional Director and under her supervision to ensure that our office runs smoothly, brainstorms ways that we can better engage the local corporate and public community, mentors our interns and innovates methods to help Ashoka reach our goal of creating an Everyone a ChangemakerTM society. 

 

Ashoka is a non-hierarchical organization and has a strong emphasis on innovation, which means that quality ideas generated from any level of the organization have the potential to be implemented on a regional or even international level. Ashoka's mission is to create a competitive, entrepreneurial, and globally integrated citizen sector and to develop the profession of social entrepreneurship. Since 1981, Ashoka has identified, invested, and brought together more than 2600 leading social entrepreneurs in more than 70 countries around the world. 

 

In the present economic, political and social state in many of the countries of the Arab World, Ashoka is well placed to help leading social entrepreneurs step forward with leadership and ideas for a more open, developed, and promising future. 

 

Our Fellows work in a variety of fields from gender empowerment to youth education to poverty alleviation to conflict resolution. These inspired individuals have dedicated their lives to improving their communities with innovative methods, and Ashoka is dedicated to helping them succeed. 

 

Employment: Full time

Office hours:9 am to 5 pm

Working days: Five working days from Sunday till Thursday where Friday and Saturday are off, but at times the Executive Assistant might be required to work longer hours and occasionally on the weekends, so flexibility and willingness to work hard are a must. 

 

Qualifications:

Education: B.A. in a relevant field 

 

Experience and Required Skills 

  • 1 year of relevant field experience is required. 
  • Excellent writing and analytical skills 
  • Proficiency in Microsoft applications including Word, Excel, Power Point, etc. 
  • Applicant must have strong initiative, independence, creativity, and sound judgment. They must be service-oriented and flexible, with excellent communication and organizational skills. 
  • Applicant must be a team player with a high level of commitment who is able to manage multiple high-priority tasks at once. 
  • Applicant must have excellent attention to detail.

Language
Native fluency in written and spoken English
Proficiency in written and spoken Arabic a plus

Salary
Monthly salary will be between 2000LE to 3000LE depending on candidate's qualifications and experience.

Responsibilities:
The Executive Assistant will assist the Regional Director through fulfilling the following duties (this list is NOT exhaustive as the Executive Assistant may be called upon to perform additional duties as assigned by the Regional Director):

1. Schedule and coordinate the Regional Director's appointments and meetings relevant to her work with Ashoka, in collaboration with the Administration officer and the Regional Director's personal assistant.
2. Report on the meetings of the Regional Director and take follow up actions, as needed.
3. Handle the Regional Director's travel logistics, travel reports, per diems, etc, in collaboration with the Administration officer and the Regional Director's personal assistant.
4. Act as liaison between the Regional Director and staff, as needed.
5. Distribute the Regional Director's emails to appropriate staff members.
6. Type and send correspondence as requested by the Regional Director.
7. Respond on behalf of the Regional Director to inquiries for information regarding Ashoka and our work in the Arab region.
8. Organize the Regional Director's files in hard and soft copies.
9. File the Regional Director's personal things.
10. Perform other tasks assigned by the Regional Director.
11. Prepare research briefs on potential investors and partners, Fellows, and various other topics under direction of the Regional Director.
12. Plan and execute necessary steps for Ashoka's Annual Induction of New Fellows.
